Text Messaging


Fill out this Form immediately after requesting activation so we can verify your texting account and texts can be successfully sent.

 Enrollware subscribers have the ability to use Enrollware to send text messages to their instructors and students.  This help document will review the features available, pricing, setup, and usage.

Features

  • You will be assigned your own dedicated phone number for Enrollware text messages.  We can reserve one with the area code that you choose.   All of your outgoing text messages will come from this number.  
  • Students will receive an automatic text confirmation along with the confirmation email.  The text will contain a link to the confirmation information.
  • Text messages can be sent manually, from the Enrollware admin to individual instructors, individual students, and an entire class with checkboxes to include/exclude instructors and students.
  • Instructors can opt-in to receive automatic text reminders of their classes on the day before the class.
  • Text messages can be scheduled to students based on days prior to or after a class, and specific to each course type.  This is very similar to email campaigns.
  • Students can opt-in to receive text messages via a question in the registration process.  That also can be set in the student edit screen.  
  • The system acts on an incoming "STOP" message and opts that student out of messaging.  "START" will restart any messaging.
  • Incoming voice calls will hear a voice message instructing them to call your contact phone number for assistance.
  • Text message sent to this number will be handled by auto replying with a message set by you and/or forwarding the message to an email address that you specify.

Pricing

Texting within Enrollware is provided for a monthly fee based on the volume of messages sent from your account .  Unused message credits do not roll over from month to month.  Each message in the pricing below represents one segment of up to 160 characters.  Messages longer than 160 characters will use multiple credits.

Setup and Usage

Check to see if the text messaging feature is available in your account.  If it is available, you will see a text messaging link under the Settings navigation tab in the Enrollware Admin. You must be an administrator of a paid subscription to Enrollware in order to proceed with this process.  If you don't see the link in your Settings page, send an email request to support@enrollware.com.

Click the Text Messaging Link to begin the setup process.  The first step is to reserve your dedicate phone number from which text messages will originate.

Enter your desired area code and click the Setup Text Messaging button.  If a number was reserved successfully, the screen will update and display the assigned number.  If no numbers were available in the area code that you selected, choose another area code and try again.

Next, enter the desired information in the Auto Reply and Forward Email fields.  Incoming text messages will not be displayed in your Enrollware admin pages, and recipients should be alerted that your text message number is not monitored.  The Auto Reply field should contain a message that the system will send back as a response to any incoming text message to your phone number.  


You will not be able to respond back to a text email. If you wish to respond to a text you will need to do so separately on the number or email they have on file.

If an email address is entered in the  Forward Email field, incoming text messages to your phone number will be forwarded via email.  If both fields are left blank, an automatic reply message will be generated by the system and sent as a response to every incoming text, notifying the recipient that the number is un-monitored.

Once a phone number has been assigned to your account, all of the text messaging features become active.  Students registering for classes (and opting into text messages) will receive an automated text message with a link to their confirmation information.  This is the same information that is sent to them in their confirmation email, which is sent to these students as well.  The registration form will prompt them for their Mobile Phone instead of Primary Phone.

Scheduled Text Messages

Next, we'll set up the scheduled text messages.  These scheduled messages are very similar to the Enrollware email campaigns.  They allow you to setup automatic text messages sent to students at any number of days prior to or after their class.  A reminder text sent one day before will be the most common usage, although follow-up text messages after the class, or renewal reminders when a student is nearing expiration are also typical uses.  To  add your first Scheduled Text Message, click the Add New Message button, and complete the form.  The following screenshots demonstrate these three scenarios.

Once these messages are set up and marked as "active", a daily process will run and send these messages automatically out to your students. 

These scheduled text messages are usually sent between 10 AM and 12 PM in the client's local time.

Instructor Reminders

Instructor reminders are sent to lead and assistant instructors between 10 AM and 12 PM local time to instructors who are assigned as an instructor the following day.  These messages are sent to the Mobile Phone number in the instructor's profile.  Instructors can opt-in to receive these text message reminders on their My Account page. There is no way to change the time frame for Instructors.

That option can also be set by an administrator in their user profile in Settings->Users

Manual Text Messages

Buttons have been added to the following pages that allow administrators and instructors to send manual text messages to students, classes, and instructors.  The screenshots below show the trigger button and the resulting text message page.
