Instructor Bidding

Enrollware has incorporated a process that allows instructors to indicate their availability to teach open classes.   This is done via a list of classes that are “open for bidding”.

Emails announcing open classes are sent to eligible instructors with links back to a management page where the instructors check off the classes that they are available to teach.  Once bids have been received for a particular class, the site administrator can assign instructors to the class and emails are sent to the instructors if they have requested them.   This document details the steps involved in this process. 

1. Instructor Setup:  Several options exist in the User Edit screen for each instructor.  To take full advantage of the bidding process, all 4 of the checkboxes shown below should be checked.  It’s important to note that an instructor can participate in this system even if they haven’t been supplied with their username and password.   This allows sites to use the system that don’t allow their individual instructors to login and manage their classes.

2. Enable Classes for Bidding:  A new checkbox will be displayed on each class edit screen next to the instructor drop-down.  Check this box to include this class on the list of classes open for bidding.

3. Bidding Page:   The instructor bidding page lists all of the classes open for bidding and allows instructors to submit their bids for classes.  The “Email Instructors” button is only shown to admins and allows the admin to send an email at any time to the eligible instructors announcing the open classes.  No automatic emails are sent to instructors announcing open classes.

4. Instructor Bid Notification:  You may enable email notifications when instructors submit bids on your Settings - Site Settings page. Simply scroll down to your contact information and enter the email address you would like notification emails sent and update your settings.

5.  Viewing Bids: Once an instructor clicks "Save Bids" button, his/her bids are indicated to the admin on the Upcoming Classes page as well as on each class edit page.

6. Assigning Instructors: The admin will choose from the list of available Instructors and assign them manually to the class as either the lead or assistant instructor. The instructor will then get an email notifying them of their assignment. Once the assignment is complete the "Open for Bidding" checkbox can be unchecked and it will be removed from the open list.
